Administrative Assistant (Somers, NY)
Overview:
Rapidly growing graphic design / event production company seeks a dynamic, energetic administrative assistant to join our team. This person should have a minimum of 2 years office experience.
Job Description:
This position provides clerical and administrative support to the Executive team and department heads.
Duties include:
-Provide support for approximately 4-6 professionals
-Screen, follow up, route and resolve phone calls and requests
-Receive visitors
-Manage extensive calendar and meeting coordination
-Make travel arrangements and coordinate travel plans & prepare monthly T&E Report, also route invoices as needed
-Recruiting/interview schedule coordination
-Send e-mail, coordinate fax distributions
-Organize & maintain departmental files (paper and computer-based) & office supplies
-Distribution of mail
-Organize on-boarding process for new hires
-Provide coverage for others in group and special projects as needed
Specific Skills and/or Previous Experience Required:
-Professional demeanor
-Excellent interpersonal and communication skills with all levels of management.
-Experience in prioritizing work and effort made to anticipate manager`s needs
-Possess good decision making skills
-Demonstrate superior organizational skills, with a strong ability to multitask
-Excellent follow-up skills, attention to details / accuracy/ quality of work
-Works well under tight deadlines/ high pressure environment
-Ability to work independently, complete tasks, resolve issues and take direction with minimal supervision.
-High energy, proactive approach, high reliability
-Positive attitude, good sense of humor
-Ability/flexibility to work overtime during crunch periods (reasonable notice provided in advance)
Software Experience:
-Microsoft Office
-Proficient in both Mac & PC
